Most players here are minors. That shapes the whole design, and this says exactly how.

Altus Sport is a golf team management application for high school programmes. It is used by coaches, players, parents and guardians, and — only where a player and their guardian have both agreed — by private instructors and collegiate coaches.
Altus Sport is intended for high school golf programmes and the adults who run them. It is not directed to children under 13, and we do not knowingly create accounts for them. If we learn that we hold information from a child under 13, we will delete that account and its data. If you believe a child under 13 has an account, contact tjsharp4@gmail.com and we will act on it.
We check this without collecting a date of birth. Eligibility is worked out from the graduation year a player already provides: a student graduating more than five years from now would be under 13, and the account is refused. A refused sign-up is not recorded, because keeping a note that somebody appeared to be twelve would retain exactly the information the rule exists to avoid.
Most players using Altus Sport are minors. That shapes the whole design, and Sections 4, 5 and 6 are the substance of this policy rather than boilerplate.
Account information. Email address and password, handled by our authentication provider. Your full name and the role you select (player, parent/guardian, coach, instructor, collegiate coach).
Profile information you choose to provide. Graduation year, gender, handicap, the clubs in your bag, a short biography, hometown, home course, dominant hand, and commitment status. Optionally a profile photograph and social media handles. All of these are optional; the app works without any of them.
Performance information. Rounds you record: course, tees, date played, scores per hole, putts, penalties, fairways, greens in regulation, and — when you use shot tracking — the club, lie and distance of individual shots, and derived statistics such as strokes gained.
Precise location, during a live round only. When you record shots during a round, the app captures GPS coordinates to measure distances. Location is collected only while you are actively recording a round and only on the device where you start it. It is not collected in the background, and not when the app is closed. See Section 7 for how briefly it is kept.
Messages. Team chat, the parents channel, and direct messages between team members.
Support requests. When a player uses the "Need help" feature, the message they write and the time they sent it.
Technical information. A push notification token, so we can deliver alerts to your device.
We do not run advertising, and we do not use analytics or crash-reporting services. Nothing in Altus Sport tracks you across other apps or websites.
This is the part worth reading. Access is enforced by the database, not by hiding things in the app.
Visible to your team — your teammates, your coaches, your guardian, and any instructor or collegiate coach you have approved: name, graduation year, squad, biography, hometown, home course, dominant hand, commitment status, handicap, approved profile photograph, your scores, statistics and round history.
Visible only to you, your guardian, and coaches of your own team: your social media handles. Teammates cannot see these. An instructor or collegiate coach cannot see these.
Visible only to you: your email address, phone number, and your access share code. No other user — including your coach — can read these through the application.
Visible to nobody through the application: your GPS coordinates and your push notification token. These are used to calculate distances and deliver notifications, and are not readable by any other user of the service.
Photographs of players get their own section because they are handled differently from everything else.
A player's photograph is not visible to anyone until their parent or guardian approves it. When a player uploads a picture it is held for review. Their guardian is notified, sees the picture, and either approves it or turns it down. Until then the only people who can see it are the player and their guardian.
Replacing the photograph starts the review again. Approval attaches to the picture the guardian actually looked at, not to the player.
A guardian can turn a photograph down, or delete it outright, at any time — without going through the player.
A player who has no parent or guardian linked to their account has nobody who can approve their photograph, so it stays private and the app tells them so.
Photographs are stored privately. They are not published to the open internet and there is no public link. They are served only through short-lived, expiring links issued to the people listed in Section 4. Location metadata (EXIF) is stripped from every photograph before it is uploaded, so a picture taken on a phone does not carry the place it was taken.
Adults' photographs — coaches, guardians, instructors — do not go through review, because there is nobody above them to do the approving.
A private instructor or a collegiate coach is not a member of your team and gets access only through a deliberate, two-step consent process:
There is no way for an adult to request access without a code the player deliberately gave them, and no way to browse or search for players. Either the player or their guardian can revoke access at any time.
What these adults can see: performance information only — statistics, skill rating, round history. They cannot see team chats, rosters, schedules, announcements, contact details, event locations, or GPS coordinates.
Collegiate coaches cannot message players through Altus Sport. There is no such feature. Recruiting contact is directed to the player's high school coaching staff.
A guardian's own access ends when the shared team does. When a parent and their player no longer both belong to an active team — because the player graduated, left, or was removed — the link is revoked automatically. It is not a permanent grant that outlives the season it was created in.
GPS coordinates are deleted automatically 30 days after a round is completed. This runs on a schedule; it is not a manual process and does not depend on anyone remembering. The statistics derived from those coordinates (distances, strokes gained) are kept, because they are no longer location data.
Other information is kept for as long as your account is active. If you delete your account, your profile, rounds, statistics, messages and photographs are deleted with it.
Deleted information may remain in our hosting provider's encrypted backups for a limited period before those backups expire. We say so rather than implying that deletion is instantaneous everywhere.

If you are a parent or guardian, you may exercise all of these on behalf of your child, including approving or refusing access requests from outside adults, approving or refusing their profile photograph, and deleting that photograph yourself without going through them.

We use these providers, and we do not sell personal information to anyone:

We publish the agreement we are asking you to sign, so a district can read it before starting a conversation: School Data Privacy Agreement. It covers ownership, permitted use, security, sub-processors, breach notification, and the return and destruction of student data.

Information entered into Altus Sport by a school may constitute an education record under applicable law. We process it on the school's behalf and do not use it for advertising or sell it.
If we change this policy in a way that materially affects how we handle information about minors, we will notify account holders and guardians in the app before the change takes effect.
